Course Assessment

A. Course Evaluation

Student academic performance in each course is assessed using three possible evaluation methods: (1) riterion-Referenced Assessment (PAP) – Setting a passing threshold; (2) Norm-Referenced Assessment (PAN) – Comparing a student’s score with their peer group; and (3) A combination of PAP and PAN – Determining a passing threshold first, then comparing passing scores relative to the group. The following provisions apply:

1. The final grade for each course is a cumulative result of structured assignments, laboratory work (for courses with practical sessions), Mid-Semester Exams (UTS), Final Semester Exams (UAS), and other assessments;

2. Exam scores for each course are recorded as absolute values ranging from 0 to 100.

3. Final course grades are expressed in Letter Grades (Huruf Mutu – HM) and Grade Points (Angka Mutu – AM).

4. The grading system for Master’s and Doctoral programs may be based on either distribution or standard criteria. The assessment method is determined by the course instructors, who establish the details of whether to use distribution-based or standard-based grading. The grading components and their weight may include: (1) Midterm Exam (UTS); (2) Final Exam (UAS); (3) Assignments, and (4) Quizzes or other forms of evaluation appropriate to the course. The weight of each component is determined by the course instructors.

5. The grade report form can be accessed by the Study Program through the Academic Information System (Simak). The Study Program must upload the grades in Simak no later than two (2) weeks after the final exam period ends.

6. If a student has not completed a required component of a course assessment due to a valid reason, their grade will be marked as Incomplete (BL). The student has up to one (1) week after the grades are announced to complete the missing component, subject to the approval of the course instructor.

  • If the student does not take advantage of this opportunity, the BL grade will be replaced with a grade determined by the respective instructor.
  • If the BL status remains unresolved by the deadline, the final grade will be determined by the Faculty/School leadership, considering input from the course coordinator or the Head of the Study Program.
  • If the Faculty/School/Study Program has not assigned a grade for the BL status before the start of KRS-A for the following semester, the system will automatically assign a grade of E for Bachelor’s and Applied Bachelor’s programs and a grade of D for Postgraduate programs.

7. Instructors must announce the final course grades in letter grades no later than two (2) weeks after the final exam of the respective course. Any grade changes due to correction or calculation errors must be made within two (2) weeks after the grades are announced.

8. Students must verify their grades with the instructor (if necessary) within a maximum of two (2) days after the grade announcement.

9. If a student withdraws from a course without authorization, the course will be assigned a grade of E and will be included in the GPA calculation for that semester. A student is considered to have withdrawn without authorization if they stop attending the course after registering for it during re-registration. If a student withdraws without authorization after taking the mid-term exam, the course instructor has the right to assign a grade based on the mid-term exam results.

10. All grades obtained will be listed in the student’s semester transcript. Courses retaken will be marked with a special notation on the semester transcript.

11. In GPA calculations, if a course is retaken, the highest grade obtained after retaking the course will be considered.

 

B. Course Conversion for Subjects Taken Outside IPB

1. Recognition of Courses Taken Outside IPB

Courses taken at other universities, both domestic and international, as part of a student mobility (exchange) program may be recognized if the Course Learning Outcomes (CPMK/ Capaian Pembelajaran Mata Kuliah) have not yet been fulfilled at IPB but contribute to fulfilling the Graduate Learning Outcomes (CPL/ Capaian Pembelajaran Lulusan).

2. Equivalency of Courses Taken Outside IPB

Courses taken at other universities as part of a student mobility program may be considered equivalent if their Course Learning Outcomes match those of existing courses at IPB.

Recognition and Equivalency of External Courses are Subject to the Following Conditions:

1. Applies only if students have enrolled in the courses EXC001-Student Exchange or EXC002-Nusantara Student Exchange in their study plan/course registration (KRS).
2. Students must report their academic achievements from the host university through studentportal.ipb.ac.id under the Outbound menu, no later than before the KRS-A registration period for the next semester.
3. The respective Study Program will determine which courses can be recognized or equated based on course learning outcomes and/or graduate learning outcomes through simak.ipb.ac.id under the Outbound Course Equivalency menu.
4. The Study Program must assign a final grade (letter grade) for the recognized or equivalent courses in simak.ipb.ac.id before the KRS-B registration period for the next semester.

C. Conversion of Courses from Multi-Activity Programs

Enrichment Courses (EC) in multi-activity programs are not limited to conventional classroom learning but also include activities such as competitions, summer courses, conferences, seminars, entrepreneurship programs, community service, talent and interest development, internships, competency certification, leadership and organizational activities, and other recognized activities. These activities can be converted into credits (SKS) and acknowledged as competency-based courses. The multi-activity approach aims to provide students with flexible and personalized learning opportunities through diverse learning experiences across multiple channels.

Multi-activities encompass a variety of learning experiences, including practicums, studio practice, workshop practice, field practice, work placement, research, design or development projects, military training, student exchanges, internships, entrepreneurship, community service, and other recognized activities as stipulated by government regulations.

EC is a component of IPB University’s 2020 Curriculum that integrates various courses and academic activities, allowing students to fulfill their study requirements through activities conducted by academic units, other institutional units, or external partners beyond their home study program.

Recognition is the process of validating student activities as competency-based courses based on their alignment with learning outcomes.

Procedure for Converting Planned Multi-Activity Programs as follows:

1. Students complete the online academic advising process, and the Supervising Lecturer, Head of Study Program (Kaprodi), Deputy Head of Study Program (Sekprodi), or Advisory Committee Chairperson must specify the course name and code to be used for conversion.
2. Students register for the course (KRS) that will be converted from their planned activity.
3. Students carry out the activity and then fill in the Activity Report (Berita Acara Aktivitas-BAA) in the student portal (studentportal.ipb.ac.id) under the Activity menu.
4. The Supervising Lecturer verifies, approves, and assesses the student’s activity submission in the HR Portal (hrportal.ipb.ac.id) under the Academic – Activity Supervisor menu.
5. Students claim their completed activity for course conversion through the MBKM Conversion menu on studentportal.ipb.ac.id.
6. A designated team from the study program verifies the student’s conversion request in simak.ipb.ac.id under the MBKM Assessment menu. The final letter grade is assigned based on the assessment by the Supervising Lecturer and the alignment of the activity with the equivalent course.

Procedure for Converting Unplanned Multi-Activity Programs are as follows: 

    1. Students carry out the activity and then fill in the Activity Report (Berita Acara Aktivitas – BAA) in the student portal (studentportal.ipb.ac.id) under the Activity menu.
    2. The Supervising Lecturer verifies, approves, and assesses the student’s activity submission in the HR Portal (hrportal.ipb.ac.id) under the Academic – Activity Supervisor menu.
    3. Students claim their completed activity by selecting the course for conversion through the MBKM Conversion menu on studentportal.ipb.ac.id.
    4. Students requesting course conversion for an unplanned activity must ensure that their total study load does not exceed the maximum limit for the current semester.
    5. A designated team from the study program verifies the student’s conversion request in simak.ipb.ac.id under the MBKM Assessment menu. The final letter grade is assigned based on the assessment by the Supervising Lecturer and the alignment of the activity with the equivalent course.
